Why work & productivity services go down

Office suites are federated: Mail, calendar, documents, chat and video are separate services behind one sign-in. The sign-in is the single point of failure, and it is the component that most often takes everything down together. When it holds, an outage is usually confined to one product and most people never notice.

The second pattern is unique to this category: Sync. Documents and mail are cached on your machine and reconciled with the server continuously. During an outage you can often keep working offline without realising anything is wrong, and the real disruption arrives afterwards as conflicts when everybody syncs at once.

The desktop app keeps working while the web version fails, or the reverse. Mail appears to send and sits in the outbox. Meeting links fail to join while the calendar entry is perfectly visible.

What to do when work & productivity is down

  1. Check whether sign-in itself is the problem. If one product fails, it is that product. If you are being asked to sign in again everywhere, the identity layer is the fault and everything will return together.
  2. Keep working offline if the desktop app still opens. Cached documents and mail usually remain editable, and they will reconcile when service returns.
  3. Do not send the same mail repeatedly. Queued mail almost always delivers. Resending is how recipients end up with five copies an hour later.
  4. Tell people before they ask. The cost of a work outage is mostly people investigating it individually. One notice saves an hour of collective time.
